Overview:
The Systems Administrator I manages and supports data systems and processes within the Division of Strategic Enrollment Management (SEM) at Utah State University. Reporting to the Director/Senior Systems Administrator in the Department of Enrollment Strategy and Innovation, this position provides technical guidance to staff and student workers on system operations and data-related tasks. The role's primary responsibility is to implement and manage a new transcript automation software that will significantly improve the efficiency of transcript processing. Additionally, the Systems Administrator I will oversee the maintenance of other critical systems used by SEM departments, including the current CRM (Ellucian Recruit), as the university transitions to Salesforce over the next year. The role also involves managing data imports and exports across systems to streamline operations and enhance data accessibility.
Responsibilities:
System Management & Implementation
Lead the implementation, configuration, and management of the new transcript automation software to enhance transcript processing capabilities.
Support the existing CRM (Ellucian Recruit) during the division's transition to Salesforce over the next year, ensuring continued functionality and system reliability.
Assist with data imports and exports from the CRM and other systems used within the SEM division to ensure smooth data flow and accessibility.
System Integration & Automation
Collaborate with IT and other departments to integrate new and existing systems across the SEM division, streamlining processes and improving operational efficiency.
Develop and maintain automation scripts to enhance data workflows and reduce manual tasks.
Monitoring & Maintenance
Monitor the performance of key systems, including the transcript automation software and CRM, troubleshooting issues as they arise and ensuring optimal functionality.
Conduct regular system audits, upgrades, and capacity planning to meet the evolving needs of the SEM division.
Data Integrity & Security
Ensure the accuracy and security of data within the transcript automation system, CRM, and other related systems, complying with institutional policies and regulations such as FERPA.
Regularly audit system security settings and user access to protect sensitive student information and prevent unauthorized access.
Support & Training
Oversee the implementation of the transcript automation system, ensuring timely and successful deployment.
Lead data-related projects, such as system integrations, duplicate detection, and data validation, to support smooth operations across SEM departments.
Collaboration
Work closely with IT, Admissions, and other SEM departments to ensure the systems align with the division's strategic goals and operational needs.
Partner with external vendors and service providers to maintain system functionality and address issues related to the transcript automation system and CRM.
Qualifications:
Minimum Qualifications:
A bachelor’s degree in management information systems (MIS), computer science (CS), data analytics, or a related field; OR an associate’s degree in management information systems (MIS), computer science (CS), data analytics, or a related field plus two years of related experience; OR an equivalent combination of education and experience.
Preferred Qualifications:
Two years of experience in data systems administration or a related role.
Familiarity with higher education software and solutions (Ellucian Recruit, Salesforce, Banner).
Experience with system integration, customization, and automation.
Proficiency with data security protocols and compliance regulations (FERPA).
